Parents, Teachers, and Friends Association (PTFA)
A school run PTFA is a partnership between teachers, staff and parents, they work together to generate funds that are used to further enrich our children's school experiences by making their time a happy and truly unforgettable time in their lives.
Dedicated parent volunteers work closely with the school to create and organise a range of events and activities that are designed to appeal to both children and parents alike.
These events include:
- Discos
- School fairs
- Grandparent teas
- Inflatable days
Funds that are generated from these activities are spent on the children in a number of different ways including:
- School trips
- Learning aids
- Purchasing new school equipment
- Travelling theatre companies

We are currently looking at forming a brand new PTFA. If you would like to nominate yourself or another person to the PTFA Committee, please email admin@gravelhillprimaryschool.co.uk stating full name of nominee and position you would be interested in . Committee members must be the parent, guardian, or carer of a child that attends Gravel Hill Primary School. Below you will find a list of members that are required to make up a committee.
The Chair’s responsibilities
- Chairs and facilitates meetings in a manner that encourages everyone to contribute
- Sets the date and agenda for meetings and keeps the discussion on track
- Delegates tasks to committee members
- Ensures decisions are implemented
- Liaises with the school about fundraising priorities
- Welcomes and motivates new volunteers
- Is a designated signatory on the PTA bank account
- Ensures the PTA is registered with regulatory bodies eg, the Charity Commission, and submits reports where necessary.
The Vice Chair responsibilities
- Assist everyone on the committee in their role
- Managers the PTFA bank account along with the Treasurer
- Making sure the association in GDPR compliant
- Runs meeting when chair is not attending
- Supports chair for ad hoc requirements
The Treasurer’s responsibilities
- Manages the day-to-day finances
- Keeps a detailed and accurate record of the PTA’s financial activity
- Reports on the finances at meetings in a clear, concise way
- Arranges floats for events
- Ensures money is kept safely before and during events
- Banks the takings from events and fundraisers
- Makes Gift Aid claims
- Implements procedures for making payments and claiming expenses
- Completes the Charity Commission annual return (if registered)
- Gets accounts audited where necessary
- In charge of PTFA online payment system
The Secretary’s responsibilities
- Assists the chair with planning meetings
- Communicates with the school and committee members, including circulating the agenda before PTFA meetings
- Takes minutes at meetings, recording the key points, decisions made and relevant action points
- Manages communication between the committee, volunteers, school and school community
- Ensures meetings have enough attendees to form a quorum
- Keeps records
- Shares information
The Media Coordinator responsibilities
- In charge of PTFA's social media account
- Prepares the publicity for events, including flyers, posters and tickets
The Parent Liaison responsibilities
- Responsible for managing a WhatsApp group with a representative for each class.
- Liaise with the class representatives to advertise events and organise 1 volunteer as required for each event.
- Ensure that each class can support the PTFA with 1 adult between each class to ensure events can go ahead efficiently, fairly and increase our profits for the children's benefit.
